Front Desk Assistant

Position Summary

Join the Constellation Acupuncture & Healing Arts (CAHA) Team! CAHA is queer, women-owned acupuncture clinic based in NE Minneapolis that provides high-quality and individualized patient care. We are seeking a Front Desk Assistant to support our growing team of Chinese medicine providers and bodyworkers at our clinic location in Northeast Minneapolis. The Front Desk Assistant is a key member of the team by providing welcoming customer service to our patients, supporting practitioners in providing patient care, and keeping the administrative side of the clinic running smoothly. 

Summary of Duties

The Front Desk Assistant welcomes, interacts with, and assists patients who come to our clinic. This role serves as the first point of contact patients encounter when arriving in person, calling, or emailing. The Front Desk Assistant is responsible for accurately and promptly processing appointment payments, selling retail, and scheduling appointments. This role requires the ability to manage multiple situations/requests simultaneously and work independently. The Front Desk Assistant supports patient care by assisting practitioners with maintaining clean and well-stocked treatment rooms. The Front Desk Assistant is also responsible for opening and/or closing the clinic space in a timely and thorough manner. This role requires flexibility as our clinic continues to grow.

Job Duties (not a complete list)

  • Execute customer service tasks with current and prospective patients, including in-person, email, phone, and text-based communication.

  • Perform accurate patient appointment scheduling, retail sales, and fee collection.

  • Assist in daily clinic operational flow (changing linens, restocking rooms, tidying, etc).

  • Light cleaning tasks (dusting and wiping down surfaces, trash/recycling removal, vacuuming, etc).

  • Check mail and receive packages.

  • Maintain attractive retail displays and assist with retail/supply receiving and inventory.

  • Communicate with other staff members throughout the shift as needed and at shift change to maintain consistent practices and provide high quality customer service.

  • Ability to self-monitor progress and follow-through on job duties.

  • Independently motivated, curious, and self-directed.

  • Experience working with queer and trans communities; familiarity with chosen names and varied gender pronouns preferred. 

  • Communicate in a respectful manner and demonstrate inclusivity and cultural humility to all individuals regardless of gender identity, sexual orientation, race, national origin, religion, appearance, ability, relationship status, status with regard to public assistance, socioeconomic status, etc.

Functional Qualifications:

  • Ability to freely access all areas of the clinic

  • Ability to sit and operate a computer comfortably for several hours at a time

  • Ability to lift a minimum of 25 pounds

Preferred Qualifications:

  • Customer service experience

  • Interest in complementary medicine and/or experience working in a healthcare environment

  • Proficiency with Apple operating systems

  • Familiarity with Square POS system

  • Familiarity with appointment scheduling system platforms

  • Ability to troubleshoot common tech issues

Typical Working Conditions

Use of office equipment requiring manual dexterity, eye-hand coordination, auditory processing, and alertness. The role includes tasks involving sitting, standing, walking, lifting, and bending. The clinic is located on the second floor of our building, accessible by both elevator and stairs. There are two all-gender bathrooms located on our floor.

Hours: Full-time position. Mostly weekday morning and mid-day hours. Must be available to open the clinic at 7:30am.

Compensation: $17/hour starting compensation.
